Club Executive Responsibilities

This page details the executive responsibilities of the Cliffhangers. Whenever a new exec is elected, he or she will be guided and trained by the previous exec of that position until they are able to perform their duties on their own. Furthermore, any past exec is available and will provide help and guidance to the current execs.

President

General

The President is the elected head of the club, they are responsible for the running of the club, albeit with the assistance of the executive. They hold overall responsibility for ensuring the standards of the club are maintained, as well as the financial status of the club. The President (and the rest of the executive) is elected at the AGM held around October each year and holds office for 12 months.

Duties

Typical duties that the President may be required to do include:

  • Delegate tasks to other executive or club members
  • Act as point of contact for external correspondence
  • Ensure executive roles are be fulfilled
  • Act as executive power in between meetings
  • Chair club meetings
  • Provide overall direction for club
  • Make any necessary decisions (in conjunction with the remaining executive committee) regarding any aspect of the club.

Vice President

General

The Vice President assists the President in running of the club and to help ensure the standards of the club are maintained. The Vice President will become the President the following year after being elected.

Treasurer

General

The Treasurer is elected and manages the financial assets and liabilities of the club.

Duties

Typical duties that the Treasurer may be required to do includes

  • Contacting applicants on the status of their membership application
  • Collecting membership fees and answering enquiries regarding membership fees
  • Paying of accounts
  • Monthly reports of Bank Account

Secretary

General

The club secretary help organize general club meetings, replies to emails and overall aid in the smooth running of the club.

Duties

Typical duties that the Secretary may be required to do includes

  • Organising monthly club meetings: decides on date, time, and venue
  • Inform the club of club meeting details via the forum and email
  • Liaising with the club executives regarding proposed agenda items at executive club meetings
  • Liaising with the club members regarding proposed agenda items at club meetings
  • Replying to general emails directed at the club
  • Documenting meetings by taking of and writing up minutes
  • Provide the club with the minutes via forum and or email
  • Help with general club organisation

Quartermaster

General

The quartermaster’s role is to manage the usage, storage, borrowing, maintenance and purchase of the clubs equipment.

Detailed

Storage

Whilst the quartermaster is responsible for managing the storage of gear, he/she need not store it at their own place – they need only find a suitable location and ensure the security of the gear.

Borrowing
  • The quartermaster is responsible for education of and the final decision on the rules of borrowing club gear.
  • The quartermaster must ensure the climber borrowing gear has the appropriate skills and experience to borrow it.
  • They should make all reasonable effort to be available at least once a week for gear to be borrowed from them.
  • The quartermaster should record and track the borrowing and return of gear.
  • It is partly their responsibility to impart the importance of care of gear to respective borrowers.
  • The quartermaster should provide some assistance to the trip coordinators in ensuring the correct gear makes it onto trips – this does not mean organizing the gear or doing it for them, just providing an umbrella of coverage to make sure first aid kits and general gear requirements are covered.
  • The Quartermaster should provide some measure of encouragement toward borrowing of club gear.
Maintenance

  • The quartermaster should arrange and promote at least two gear sorts per year
  • These sorts should endeavour to promote appropriate gear maintenance skills and knowledge
  • The quartermaster should regularly keep track of and check high risk gear
  • All ropes should be checked for soft spots and exposed core sections.
  • All quickdraw slings, and helmet straps, harnesses should be checked for excessive abrasion or cuts
  • Helmets should be checked for cracks/breaks
  • Gear should be clearly labelled as QUT and individually numbered
  • The quartermaster should arrange for the regular washing of ropes.
  • The quartermaster should arrange for the lubrication and cleaning of karabiners and slced’s as required.
Purchase
  • The quartermaster should arrange for quotes on, and the purchase of club gear.
  • All reasonable effort should be made to provide and keep in good condition the ‘’appropriate’’ amount of climbing gear required for the clubs size
  • ‘’Appropriate’’ means enough so support current club membership levels and encourage growth
  • The quartermaster should purchase extra gear to promote training and skill development in the more specialist skill areas.
  • This last point is important to promoting the long term development of the club and the retention of older club members by encouraging them to continue developing and providing them with more reason to remain members.

Skills Coordinator

General

The skills coordinator's role is to ensure effective skills transfer is taking place in the club.

Duties

Typical duties that Skills Coordinator may be required to do includes

  • Manages the log book system
  • Organises courses teaching special skills such as General Skills and Rescue Skills
  • Facilitate for those in need of learning to learn from those who can teach

Trip Coordinators

General

The trip coordinators help arrange the club trips. by posting on the forum where we will be going, where we will leave from and organising car seats allocation. Also ensuring that only financial club members attend trips.

Duties

Typical duties that Trip Coordinators may be required to do includes

  • Organising club trips
  • Inform the club of these trips via forum
  • Ensure only financial club members attend these trips
  • Organise annual trips

Social Directors

General

Organises social events for the club.

Duties

Typical duties that Social Directors may be required to do includes

  • Organises pub crawls, housewarming parties, skirmish sessions, movie nights, and random for-sake-of-it parties
  • Liaising with possible promoters and venues such as Red Bull
  • Organises the Annual Social Events
    • QUT Cliffhangers Annual Cocktail Party
    • End of Year Break-up Party

Promotion Coordinator

General

Responsible for promoting the club and its activities.

Duties

Typical duties that the Promotion Coordinator may be required to do includes

  • Organising fliers, posters, and various materials to be placed around QUT
  • Manages the club's facebook page
  • Promoting of club events and activities
    • Climbing Trips
    • Social Events

Webmaster

General

The role of the webmaster encompasses all tasks related to both the maintenance and development of the QUT Cliffhangers web site.

Duties

Typical duties that the Webmaster may be required to do includes

  • Assessment of the areas of the website which are in need of maintenance as well as identifying new functionality which may be needed in order to facilitate the needs of the club.
  • The implementation of new functionality and changes.
  • As the website is currently able to be edited by anyone, the webmaster is also charged with the responsibility of monitoring/moderating new content which is added as well as ensuring that the website maintains a consistent look and feel.
  • Ensure that the registration/lease of any infrastructure which the website depends upon is kept up to date (i.e. domain names, hosting shops, SSL certificates etc). This also potentially includes the recommendation of specific providers of any such facilities.
